We gather information about: number of dormitory buildings and resident capacity, existing laundry room layouts, cafeteria and dining hall sizes, meal plan participation rates, current equipment (if any) and its condition, student payment preferences, and budget/procurement requirements.

Campus Site Survey

Within 5-7 business days

Our team visits your campus to evaluate: each laundry room location, utility connections, and space constraints; dining facility layouts and traffic flow; student usage patterns during peak times; existing payment systems and student ID integration possibilities; ADA accessibility compliance; and any upcoming renovation or construction plans.

Capacity Planning

Included with proposal

Based on your student population and our site survey, we calculate optimal equipment quantities using industry formulas. For laundry, this includes washers and dryers per resident, accounting for peak usage (Sunday evenings, move-in weekends). For dining, we size equipment based on meal plan participation and serving windows.

Proposal & Procurement Support

5-7 business days

You receive a comprehensive proposal including: equipment specifications and quantities, layout drawings for each location, total project cost with educational pricing, procurement options (purchase, lease, revenue-share, or rental), projected student pricing and revenue analysis, and maintenance plan options. We support your procurement process including RFP responses if needed.

Payment System Configuration

1-2 weeks

We set up your preferred payment infrastructure: integration with campus card systems (student ID), mobile app deployment for laundry monitoring and payment, credit/debit card acceptance, loyalty program setup if desired, and pricing configuration. Students can typically use their phones to check machine availability, start cycles, and receive completion notifications.

Installation & Setup

Varies by scope (typically 1-2 days per building)

Our installation team coordinates with your facilities department to minimize disruption. We typically work during breaks or low-occupancy periods. Installation includes: old equipment removal if needed, new equipment placement, all utility connections, payment system hookup, network connectivity, signage, and initial testing. We leave each laundry room fully operational.

Staff Training & Student Communication

1-2 days

We train your facilities staff on: equipment operation, basic troubleshooting, how to process refunds, and service request procedures. We can provide student-facing materials (posters, app guides, FAQ sheets) to help residents understand how to use the new equipment and payment systems.
